    POSH WEDDING DISCOS® | TERMS OF SERVICE

    1. THE BOOKING PROCESS: THREE SIMPLE STEPS
    • Step 1: Your Customised Quote
      After reviewing the Posh Wedding Discos® brochure, please contact us for a quote. We provide set disco packages or bespoke quotes based on your date, venue, preferred items, and specific start/finish times.
      • Validity: Quotes are valid for three (3) days only. If you have not confirmed acceptance within 3 days, a new quote will need to be drawn up and issued.
      • Venue Due Diligence: Please check with your venue regarding disco and setup timings before confirming your quote. Your quote is based strictly on these timings. Any communication from the client regarding changes to these timings later will require a total requote.
      • Contract Formation: Confirmation of the quote should be given as an email reply. Once you accept, these details form the binding contract of our services to you. It is not permitted for a client to reply after the 3-day window to accept an expired quote.
    • Step 2: Event Planning & Booking Form
      After confirmation, we will send our ‘Event Planning & Booking Form’. This gathers the essential data needed to provide our services effectively. This form must be filled in completely and accurately by the client themselves (not a third party) with current information.
    • Step 3: Securing Your Date
      Once we receive your form, we will invoice you via Xero for a £99.00 booking fee. Payment of this fee saves your date. The £99.00 is deducted from the total amount, with the balance due one week before your celebration. This fee must be paid within three (3) days; please notify us if you require more time.

    2. DISCO CHECK-IN & PLANNING
    • 2.1 Consultation: We will email you within two months of your celebration to "check in." This can be a telephone call or a personal catch-up at a coffee shop, bar, or the venue itself. If meeting at the venue, we recommend timing this with your meeting with your wedding coordinator to be time-efficient for you.
    • 2.2 Planning Details: During this check-in, we go over all customisation, playlists, and timings for the first dance, cake cutting, and other specifics.
    • 2.3 Summary of Actions: We will email you a summary of the key points discussed for our reference and any actions either the couple or Posh Wedding Discos® need to take to fulfill the contract.

    3. DISCO CONTRACT AMENDMENTS AFTER BOOKING
    • 3.1 Fixed Timings: Please remember that your music start/finish times are as stated in your chosen package and form a binding contract. If, after booking, you require us to arrive earlier or stay later to provide music, provide products, or set up earlier for logistical reasons not factored into the original quote, we may not be available due to other commitments made since your booking.
    • 3.2 Voiding of Original Contract: If we are able to provide a different service than originally quoted, we will requote based on your new circumstances and our current prices. This will void your original booking/contract, and a new one must be created. This may result in extra charges for our time or additional services.
    • 3.3 Client Responsibility: It is the sole responsibility of the client to know their own wedding timings and coordinate with their venue before booking. If you require the same duration but want to change the start/finish times, this voids the contract and requires a requote at current prices. If the client rejects the requote and cancels, the £99.00 booking fee is non-refundable. We reserve dates exclusively and turn away other prospective employment; therefore, we do not penalise our business for a client's lack of logistical planning.
    • 3.4 Setup Time Constraints: We communicate our setup times at the point of booking. If the client later communicates that we do not have enough time at the venue to set up, we may not be able to start at the quoted time. This does not mean our services will be staggered for a later finish. In these situations, a requote will be made and a late fee added.

    4. SUPPLEMENTAL OVERTIME & LATE FINISHES
    • 4.1 Unscheduled Extensions: If you want to stagger the disco service window later in the night, we must check our availability.
    • 4.2 Upfront Payment: There is a late fee for a later disco finish. In all cases of a booking needing a later finish than agreed in the contract, payment must be settled upfront on the night via digital transfer or mobile link before the extended service begins. We do not provide unscheduled late-finish services on a "pay later" basis.

    5. PACKAGE AMENDMENTS & REFUNDS
    • 5.1 No "Trading" or Subtractions: Once a set package is booked, if you later find you do not require a specific product or service, that item cannot be "traded in" for a refund or a reduction in the total cost. Our packages offer a bundle discount; the agreed contract cost is the minimum amount for which we will provide our services.
    • 5.2 Venue Layout & Space: If a product or service is booked but cannot be provided due to venue room space or layout, no refund will be given.
    • 5.3 Upgrades: You may upgrade or add extras during the planning process; a supplemental invoice will be raised for the additional fee.

    6. CANCELLATION & THE BOOKING FEE
    • 6.1 14-Day Rule: If you decide to cancel for any reason within 14 days of booking and paying the £99.00, please apply in writing for a full refund.
    • 6.2 Post 14-Days: After 14 days, the booking fee is strictly non-refundable. This fee compensates us for the loss of other business and the administrative work already undertaken.

    7. MUSIC TERMS OF SERVICE
    All musical performances and playlist processes are governed by the Posh Wedding Discos® Music Terms of Service.
