Booking Terms of Service

POSH WEDDING DISCOS® - BOOKING TERMS OF SERVICE

We have developed the booking process to be as simple as possible yet thorough enough to avoid any misunderstanding on what is booked.

OUR BOOKING PROCESS IN THREE SIMPLE STEPS

  1. After receiving the Posh Wedding Discos® brochure please look at the products and services we provide. Please then contact us to book one of the set disco packages or, ask us for a customised quote listing your date, venue, preferred disco items and with disco start and finish time. We will then email you back with a customised quote. Please confirm back to us if this original quote suits you or asking us for an amended quote. After acceptance of this quote these details will then form the contract of our services to you
  2. We will then send you our ‘Event Planning & Booking Form’ this is to gather further information from you to effectively provide our services. It will take 5-10 minutes and once you have completed this fillable form it will automatically ping back to us to view.
  3. Once we have received the ‘Event Planning & Booking Form’ we will then invoice you from Xero our accountancy software a booking fee of £99 that on payment will save you date and confirm you booking with us. The £99 will be deducted from the total amount payable and the balance will be collected one week before your celebration.

OUR DISCO CHECK-IN EMAIL REMINDER TO YOU

  1. We will email you within two months of your celebration date to check in with you. This can easily be done with a telephone call. If you have chosen a more complex disco package, we might recommend having a personal catch up with you either at a coffee shop, bar or the venue itself if it is open. If so, there may also be an option to meet up with after you have checked in with your wedding coordinator at your venue making it time efficient for you.
  2. During this disco check-in we will go over all your disco customisation, music playlists and planning regarding timings you have for your first dance, cake cutting and anything else that is appropriate.
  3. We will then email you back a summary of key points discussed during this disco check in for our reference and any actions either the wedding couple or Posh Wedding Discos® need to take to enable us to provide the booked contract product and services.
  4. We will then email you any remaining balance one week before your celebration date.

OUR MUSIC - TERMS OF SERVICE

  1. Posh Wedding Discos® have a term of service for music. This relates to the process that is taken when playing music for booked clients.
  2. It will also give guidance on best practices when sharing booked client’s music.

DISCO CONTRACT AMENDMENTS AFTER BOOKING

Please remember that your music start and finish time are as stated in your disco package that you have chosen at the time of booking which forms a contract between us.
If after booking and before your celebration, you then require us to arrive earlier in the day or stay later in the evening to either -

* provide music earlier or later;

* provide products earlier or later;

* set up earlier for logistical reasons that were not factored in by you in the original quote;

* be in attendance for any other reason other than what your booking quote/contract timing agreement states,

We may not be available for an earlier service/attendance due to other commitments made since your booking. If we can provide an extra service to your original quote, then this will result in an extra charge for our time or extra service required.

This will then void your original booking quote/contract, and a new quote/contract would then need to be created adding these extra products/services/timings based on our current price list.

There will be opportunity for the client to upgrade their chosen package or opt for any added extras during the planning process running up to the celebration and an extra invoice will be raised for any additional fee. Changes in the way of a financial subtraction or downgrading to a lesser disco package after the booking has been agreed and booking fee has been taken is not permitted and therefore refunds on disco packages will not be given with the agreed contract cost being the minimum amount we will provide our services.

BOOKED SET DISCO PACKAGES AND AMENDMENTS

Once our set disco packages are booked then if you find later that you do not require a product(s) or a service of that package then the individual cost of that item cannot be ‘traded’ in as a refund for a cheaper total overall disco amount Our set disco packages have been created to offer an overall discount to those items if they were added individually. If you find at a later date you no longer need that item, then this would mean that this item would not be given and brought along for your celebration date. This booking forms the contract of our services, and the package total charge cannot be reduced later.

YOUR £99 BOOKING FEE

The £99 booking fee reserves your date with us from and stops us from taking up enquiries and booking other prospective employment on your date.

If within 14 days of booking us and paying £99 for whatever reason you decide to cancel your contract with us then please apply in writing for a full refund of the booking fee of £99.

After 14 days this amount is non-refundable if you should you cancel our services for whatever reason.

YOUR DISCO SET UP TIMINGS

Please consider our set up times given in your email quote/contract in your event logistics and your room availability at the point of booking. If after booking and before your celebration you find you require us to set up earlier in the evening/morning or day before, then we will need to check our availability and there will be an extra cost for us to provide an earlier service window or be in attendance for any other reason.

CLIENTS RESPONSIBILITY

Our clients book Posh Wedding Discos® because we offer unique and stunning disco sets, décor and furniture. We believe our disco sets are head and shoulders above our competitors and therefore, sometimes, require just a bit more time to set up, but are well worth it!

Venues can sometimes assume a disco set to be basic and so may automatically assume and predict your chosen disco set up time and products and allocate a 'room turnover' time to you. It is the client’s responsibility to ensure that we have enough set up time to deliver the disco package and any extra products and services that they have chosen at the point of booking.

Please check your room turnover time at the point of booking us to ensure enought set up time/

You may also want to communicate and relay our set up times in the disco quote/contract email we sent you upon booking us with your coordinator. You will need to discuss these with your venue wedding coordinator during the logistic meeting with them when discussing room turnover timings.

POSH WEDDING DISCOS® - GENERAL POINTS

  • Posh Wedding Discos® packages and services will be provided as agreed by email communication or via their Business WhatsApp with the client.
  • Posh Wedding Discos® will not be held responsible for circumstances outside their control which may pose risk to clients, guests, venue staff and/or DJs. As such, Posh Wedding Discos® reserves the right to use their discretion when delivering a safe and effective service.
  • Extra charges apply for, extending DJ playing times or being in attendance for any other reason and changes to the agreed booking confirmation.
  • A time/travel charge for venues located outside a 25-mile radius of Nottingham NG2 9YD, or for over-night expenses. These will be agreed by the client and Posh Wedding Discos® at the point of booking.
  • Posh Wedding Discos® reserves the right to offer and withdraw discounts or promotions subject to availability.
  • Posh Wedding Discos® reserves the right to amend and update their Booking – Terms of Services at any point.

AMENDMENTS

  • In exceptional circumstances beyond their control, Posh Wedding Discos® reserves the right to amend the agreed plan on the day of the event to ensure safe delivery of an effective service or due to unprecedented technical failure.
  • Every effort will be made to accommodate changes in event timing or event date rescheduling. Re-timing & rescheduling is subject to Posh Wedding Discos® availability.
  • Where Posh Wedding Discos® cannot fulfil the client rescheduled date the cancellation and refund terms apply.

PAYMENT TERMS

  • To save your date we require a minimum £99 non-refundable booking fee to secure your booking. By paying this booking fee you are agreeing to the Posh Wedding Discos® Booking Terms of Service and Music Terms of Service.
  • A booking fee refund can be given if a client requests it in writing within 14 days of making the booking and an administration fee of £25 will apply after which time the booking fee becomes non-refundable.
  • The remaining balance is to be paid in full 7 days prior to the event date. The remaining balance is in respect of the package chosen when the client booked & includes the £99 booking fee paid. This agreed fee is the minimum amount for which Posh Wedding Discos® products and services will be rendered.
  • We will invoice you via Xero by email on both occasions to collect payment and you can pay with a variety of debit & credit card options for your convenience. Your invoice is printable to obtain a receipt.

CANCELLATION TERMS AND REFUND POLICY

  • Once the booking is confirmed cancellations by the client must be made via e-mail, message or text.
  • Posh Wedding Discos® reserves the right to cancel the event if the remaining balance has not been received in full 7 days prior to the event.
  • Posh Wedding Discos® will be willing to re-schedule your booking, if possible; this will be dependent on our availability of the revised date, which cannot be guaranteed. Should the booking be re-scheduled then the Terms of Service and refund policy apply, as before, to the revised date.
  • If the client cancels within 14 days of the booked celebration event a refund on any monies/instalments paid will be given, except for the minimum non-refundable booking fee of £99 and an administration fee of £25.
  • Once notice of cancellation is received and payment finalised Posh Wedding Discos® exercises the right to treat the contract as at an end.

RESPONSIBILITIES OF CLIENT

  • To pay the booking fee of £99 and sign the Posh Wedding Discos®: Event Planning & Booking Form. In signing the Event Planning & Booking form you agree to both the Booking Terms of service and the Music Terms of Service.
  • Guarantee to pay the final balance 7 days prior to the event.
  • By signing the booking & paying the £99 booking fee the client agrees to this Posh Wedding Discos® Terms of Service.
  • Agree timings of the event with the client; e.g. set-up, music start, special dances, speeches, total running, de-rig, & close times.
  • Clients must not expect free products or expect free extra time be that an earlier start or expect Posh Wedding Discos® to stay longer than the email booking quote/contract states after the booking has been taken.
  • Sufficient time must be given to Posh Wedding Discos® to derig and exit the building before the venue closes therefore a knowledge of the close and exit time of a venue must be given by the client to Posh Wedding Discos® at the point of booking. No late exit venue charges will be paid by Posh Wedding Discos® by the failure of the client to inform them of the above. At least one hour time is required, and this can be extended depending on the disco package booked. If the exit time is not adequately sufficient and long enough in provided a derig time, then an earlier music finish time must be actioned to accomplish derigging before payment of an exit fee.
  • We provide an extensive range of disco products and services. In the email booking quote/contract given to the client this will stipulate our recommended disco set up time so we can provide the disco and disco products the client has chosen. It is the client’s responsibility therefore to communicate this disco set up time to their wedding venue coordinator so we can provide the service they have chosen. Venues differ greatly in size and accommodating rooms and this greatly affects the ‘room turnover time’ between the afternoon wedding breakfast to the evening disco/entertainment that they give. Venue coordinators can sometimes automatically assume a basic DJ set. You would have booked us knowing of our impressive disco sets and these can sometimes take just a bit more time, but the effect and the evenings overall enjoyment will be greatly enhanced, appreciated and remembered. Failure to provide us with enough disco set up time to provide your chosen service will be taken as break of contract on the client’s part and therefore we would be entitled to end the contract and retain the booking fee for loss of other prospective earnings from other conscientious clients.

We are more than happy to be flexible where possible and there are a number of work arounds we can do and so any issues we recommend contacting us so we can see what can be done.

RESPONSIBILITIES OF POSH WEDDING DISCOS®

  • We can liaise with the venue to organise; suitable vehicle parking & venue access to accommodate DJ & equipment, adequate set-up & de-rig time and space, clarify any restrictions and specific directions related to the venue, guests, & event.
  • Conduct a Posh Wedding Disco® 'On the Day' DJ Risk Assessment Checklist for your specified event.
  • Check all equipment & take all reasonable steps to ensure suitable backup equipment is available.
  • Provide the service as specified by the Posh Wedding Discos® Event Planning & Booking Form, notwithstanding mitigating circumstances.
  • Provide PLI insurance and PAT certification for your event.
  • By confirming the booking & accepting the £99 booking fee Posh Wedding Discos® agree to save the date and agree to the Terms of Service.

POSITIONING OF POSH WEDDING DISCOS® EQUIPMENT

  • Ourdisco equipment is for indoor use only. AllPosh Wedding Discos® equipment must be set up andset down by thePosh Wedding Discos team only.

EQUIPMENT DAMAGE AND LOSS

  • Our disco equipment must be treated with care at all times. They must not be climbed upon, sat upon or moved from where Posh Wedding Discos® have placed them. They must not be moved from the location that we set them up in. Also please refrain from leaving drinking glasses etc on the speakers or disco props to prevent damage from liquids.
  • Should any equipment be broken or damaged by the client or guests of the client then it will be the clients responsibility to pay or replace that product(s).

GDPR/MEDIA PERMISSIONS

  • Posh Wedding Discos® has permission to display any photography or videography from the event that they may use to promote its business in advertising, brochures, magazine articles, social media, websites, blogs, & other such media.

FORCE MAJEURE

  • A “Force Majeure Event” occurs where a party is unable to comply with its obligations under this contract for a reason outside of its control and which is not attributable to any act or failure to take preventive action by either party. For example, if the booking date is changed due to government public health restrictions, all monies paid will be carried to your new date. In the event of a full cancellation due to this reason, the full balance will be waived, except for the £99 non-refundable booking fee and £25 to cover administration costs.
  • Whilst every effort is made to ensure a smooth running of all events, Posh Wedding Discos® cannot be held responsible or liable for a national or international crisis liable or circumstances beyond their control.

BREACH OF CONTRACT

  • Posh Wedding Discos® reserves the right to void any contract between themselves and the client if it is discovered that the client has breached any of these Terms of Service.
  • Posh Wedding Discos® will not tolerate any abusive or violent behaviour from clients or guests of clients and reserves the right to stop providing their services at any time they see fit for their own personal safety and/or equipment damage.

JURISDICTION

  • The parties irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of this contract.

TERMS OF SERVICE

  • These Terms of Service are agreed via e-mail, text or WhatsApp at the time of booking & both parties are bound to these conditions.
